Subject Access Request

A Subject Access Request (SAR) is a way for people to ask the Police for a copy of the information we hold about them - their own personal information.

Applications will not be progressed without proof of identification (and authority where appropriate) so please make sure you have that to hand before continuing as photographs / scans must be submitted on completion of this form. Further information is available on our website.

This form must not be used to request information about other people or about deceased individuals.

(You can however make an application on behalf of someone else in limited circumstances - for example your child, if they are under the age of 12 or your client if you are a solicitor).

If your child is aged 12 or older they should submit their own SAR.
You can only apply on behalf of an older child in circumstances where they are deemed not to have capacity to submit their own request.

Authorisation and proof of relationship

In the case of solicitor / client relationships, we require a mandate expressly authorising you to access the individual's personal information on their behalf.
The mandate must have been signed within the last 6 months.

In the case of parent / child relationships, we require proof of identification for both you and your child.
We can only provide information where the request is genuinely on behalf of your child and in their best interests in the circumstances.
We also have to be satisfied that you have parental rights for the child, and you may wish to provide documentation to support that where appropriate - for example, adoption certificates, proof of guardianship or other court papers.

Providing additional information

Please describe the information sought, providing reference numbers if you know them, relevant dates, locations and times.

It is helpful if you describe the interaction you had with Police Scotland. i.e. did you report something, were you a witness, a victim or an offender etc.

If you are asking about calls made to the police, please also make sure that you provide all phone numbers these calls were made from.
